The Project Director will oversee the planning, coordination, and execution of National Institute of Neurological Disorder and Stroke (NINDS) meetings and conferences. This role requires extensive experience in managing projects in compliance with Federal Government Regulations, including contract specifics, Federal Travel Regulations, and Accessibility Requirements. The candidate will also need expertise in leveraging technology for event management, particularly online registration systems and virtual meeting platforms.

Key Responsibilities:

  • Lead the organization and coordination of federal government meetings and conferences ensuring compliance with all applicable regulations.
  • Manage all project phases from inception through completion, including budgeting, scheduling, and reporting.
  • Liaise with federal agencies to ensure event specifications meet regulatory standards and client expectations.
  • Utilize online registration systems and virtual meeting platforms to streamline event processes and enhance participant engagement.
  • Develop and maintain comprehensive project documentation, including contracts, financial records, and compliance forms.
  • Coordinate with IT and support teams to ensure accessibility and functionality of virtual events.
  • Train and supervise project team members, providing guidance and feedback to ensure high performance and professional growth.
  • Evaluate project outcomes regularly and report on deliverables to senior management and stakeholders.

Qualifications:

  • A minimum of ten (10) years of experience in coordinating federal government meetings and/or conferences.
  • At least four (4) years of management experience with teams of 8-10; subcontractor and vendor management; and quality control in a related field.
  • Proven experience in project management, including familiarity with Federal Government Regulations related to contracts, Federal Travel Regulations, and 508 Compliance and Accessibility Requirements.
  • At least five (5) years of hands-on experience with online registration systems and virtual meeting platforms.
  • Strong organizational, leadership, and decision-making skills.
  • Excellent verbal and written communication skills.
  • Ability to work under pressure and manage various projects simultaneously.
  • Proficiency in Microsoft Office Suite and project management software.

Education:

  • Bachelor’s degree in Business Administration, Event Management, or related field. A Master’s degree in a relevant field is preferred.

Certifications (Optional but advantageous):

  • Project Management Professional (PMP) certification.
  • Certified Meeting Manager (CMM); Certified Government Meeting Professional (CGMP) or Certified Meeting Professional (CMP).

Working Conditions:

  • The role will initially be in Gaithersburg, MD, then may change to being remote. It will involve travel to event locations, both domestic and international.
  • Flexibility to work outside of standard business hours as needed to meet project deadlines.

Physical Requirements:

  • Must be able to sit for extended periods of time during meetings.
  • May require handling of arrangements that involve walking, transportation, and coordination of setups/breakdowns at event locations.
