The Senior Meeting/Conference Director will be responsible for the strategic planning, development, and execution of large-scale meetings and conferences for the National Institute of Neurological Disorder and Stroke (NINDS). This role demands a high level of expertise in managing complex logistics, complying with Federal Travel Regulations, and utilizing technology to enhance event engagement and efficiency. The ideal candidate will have a strong background in event management, as well as technical proficiency in modern software tools used in event planning and execution.

Key Responsibilities:

  • Oversee the planning and coordination of meetings and conferences, ensuring compliance with Federal Travel Regulations and other relevant standards.
  • Utilize online event registration systems and virtual meeting platforms to manage event logistics, participant engagement, and post-event follow-up.
  • Lead a team of event planners and coordinators, setting clear objectives and monitoring performance to ensure the success of events.
  • Collaborate with federal agencies and other stakeholders to meet specific requirements and exceed expectations.
  • Develop and manage budgets, negotiate contracts, and oversee vendor relations to optimize event costs and quality.
  • Implement innovative technologies and methods to improve event planning and execution processes.
  • Provide training and development opportunities for team members in event management technologies and best practices.
  • Evaluate the effectiveness of events through feedback and performance metrics, making adjustments to strategies as needed.

Qualifications:

  • A minimum of eight (8) years of experience in coordinating meetings and conferences, preferably with exposure to federal government events.
  • At least two (2) years of experience working with online event registration systems and virtual meeting platforms.
  • Knowledge of Federal Travel Regulations.
  • Intermediate proficiency in MS Office, Adobe Suite, and graphic design tools to support event marketing and communication efforts.
  • Strong project management skills, with a proven track record of delivering large-scale events on time and within budget.
  • Excellent leadership, communication, and interpersonal skills, capable of managing diverse teams and interacting with high-level stakeholders.
  • Certified Meeting Professional (CMP) or Certified Government Meeting Professional (CGMP) certifications preferred.

Education:

  • Bachelor’s degree in Hospitality, Event Management, Business Administration, or related field. 12 years of related work experience may be substituted for degree. A Master’s degree in a relevant discipline is an advantage.

Working Conditions:

  • The role will initially be in Gaithersburg, MD, then may change to being remote. It will involve travel to event locations, both domestic and international.
  • Requires flexibility to work irregular hours and weekends depending on event schedules.

Physical Requirements:

  • Must be able to handle the physical demands of event setups and breakdowns.
  • Ability to navigate various event venues for prolonged periods.
