Position Title: Special Events Manager

Reports To: Special Events Director

Location: Washington, DC

The National Archives Foundation is seeking a Special Events Manager.  As the National Archives’ nonprofit partner, the Foundation generates financial and creative support and public awareness for exhibitions, public programs, capital projects, strategic partnerships, and educational initiatives.

The role of the Special Events Manager will provide support to the Director of Special Events and the Special Events Department by the successful completion of all of the Foundation hosted and private events to include (but not limited to):

  • Monitor/track and budget events from start to finish (answering phones, fielding inquiries, RSVP tracking, invoicing, budgeting, data entry etc.)
  • Complete site visits for clients interested in hosting events at the National Archives Museum
  • Network and promote National Archives Foundation at hospitality industry events.
  • Provide excellent organization, interpersonal and administrative skills.
  • Provide top notch customer service skills.
  • Review, process and respond to incoming inquiries.
  • Assists the SE department in reaching their annual revenue goal.
  • Coordinate event details (including schedules, layouts, guest lists, vendors, etc.)
  • Support the Director in the coordination of major Foundation signature events (Gala, July 4th, Congressional Open House, NAF Board Meetings, and NAF Annual Open House).
  • Manage the Special Events calendar.
  • To negotiate vendor quotes and agreements.
  • Be a self-starter.
  • Be flexible to work independently or in a team environment.
  • Administers all phases of events including but not limited to planning, facilitating, servicing, and administrative procedures.

Qualifications:

  • Bachelor’s degree
  • 5 years or more of event management experience preferred.
  • Strong written and oral communication required.
  • The ability to work well in a team environment.
  • The ability to work in a fast-paced environment.
  • Ability to maintain diplomacy, while working effectively with a wide range of constituencies, both internally and externally.
  • Ability to task and time management a plus.
  • Ability to participate in evening/weekend events.
  • Has a desire to join a Professional Meeting Industry organization.
  • Be proficient with computer software for word-processing, event management and database management — Raiser’s Edge, Accruent (EMS), Social Tables, & G-Suite (Google) preferred.
  • Interest in American history, civic engagement, and/or museums a plus.
